End-of-term Faculty Checklist

At the end of each term, there are a few steps instructors can take to ensure course content and data are stored and consolidated, and that your workspace is ready to go as you prepare for the next round of courses.

Data Stewardship:

First, plan to store data from your courses so that you can still access it easily whenever you need it.

  • Remind students to save their own information, such as submitted assignments.
  • Keep your own local copy of course grades outside of the learning management system by exporting course grades from Canvas to an Excel file.
  • You can also export your entire course and keep a back-up copy on your computer.
  • If there’s any student work you may want to keep for accreditation or your teaching portfolio, you should download those as well.

Putting the Course to Bed:

Next, clear up your workspace so you can focus solely on preparing for the upcoming term.

  • Adjust the notifications for your completed courses. This will help remove any alerts that might appear in your workspace.
  • Review the course or term dates and adjust them as desired.
  • You can also “unfavorite” your old course so that it’s removed entirely from your Canvas course dashboard.

Grades:

And finally, here’s how to submit your grades in Canvas to Peoplesoft in 4 easy steps …

  • Use gradebook late policy settings to automatically enter “zero” for any unsubmitted work in your course.
  • Verify that the grades and totals in Canvas are correct, and double check that grade weights are functioning correctly.
  • Make sure that the score-to-letter grade conversion aligns with your grading scheme.
  • And finally, post any hidden assignment grades so they are visible to students.
